The Office Assistant is responsible for performing a range of clerical and administrative tasks to support daily operations in an office setting. Their duties include sorting and distributing mail throughout the office, greeting office visitors and directing them to employees and coordinating with Managers to schedule appointments or update schedules.Duties and Responsibilities:An Office Assistant is responsible for keeping the office supplied and organized. This involves lots of small duties, like typing and taking notes during meetings, but their overall responsibilities are essential. Office Assistants are responsible for things like:Overseeing clerical tasks, such as sorting and sending mailKeeping an inventory of office supplies and ordering new materials as neededMaintaining filesWelcoming visitors to your officeAnswering phone callsTaking and delivering messagesEnsuring the office runs smoothlyScheduling meetings and sending meeting invites to attendeesSkills and Qualifications:Decision-making: Administrative Assistants have to make independent decisions on a daily basis, addressing the best way to handle specific tasks.Communications and collaboration: An Administrative Assistant must collaborate with other administrators and support personnel, management and clients on a regular basis.Organizational skills: Organization and prioritization are the core elements of the Administrative Assistant’s responsibilities. You must know how to keep yourself and others organized and how to determine which tasks are the most important in a given list.Writing: Spelling, punctuation, sentence structure and writing are essential to an Administrative Assistant, who must be proficient in a variety of styles, from creative to professional to technical to education and more.
