Job description:

You will be responsible for office administration and daily clerical duties including basic schedule planning, travel arrangements, documentation, and file maintenance. Other responsibilities include scheduling conferences/meeting rooms and responding to general inquiries. They create and maintain office documentation and files and review drafts and finished internal/external communication documents.DescriptionManage complex calendars with multiple time zonesCoordinate and arrange meetings and schedules; Manage staff level notes and follow upSchedule conference calls, on-site/off-site meetings, telepresence meetings, andWebcasts. Manage catering and reservations as neededArrange and coordinate complex domestic and international travel arrangementsExpense report review and timely submissionCreate PowerPoint presentations; Type, edit and proofread documents andCorrespondenceMaintain organizational charts for the global teamsMaintain electronic records and SharePoint sitesManage sensitive and proprietary information with discretion and confidentialityCoordinate both internal and external communicationsTeam player - assist and provide coverage for other administrative assistants as neededSupport and track approvals for various internal workflows such as travel requests andpurchase requisitionsMust be able to prioritize and plan work activities to use time efficiently. Must beorganized, accurate, thorough, and able to monitor work for qualityWhat your background should look like:Working experience minimum 3 years in an administrative capacity; large corporation executive assistant experience preferredMust have outstanding written and verbal communication skillsMust have strong Outlook, Word, Excel and PowerPoint skillsAbility to work in a fast-paced environment while adapting to changing deadlines and prioritiesMust be able to work independently, prioritize work and handle simultaneous assignments with success and accuracyDetail-oriented with exemplary organization and communication skillsStrong PowerPoint presentation skillsTech savvy with ability to research topics via the internetMust be able to multitask and work well under pressure Powered by Webbtree
